Model the handoffs before selecting another tool.
Begin with one representative job. Identify who creates each fact, who must approve it, which system owns it, what can change, and what the next stage requires. A useful map distinguishes retail projects, insurance-related work, repairs, service requests, and commercial or residential variations instead of forcing them through one generic status list.
Handoff checkpoints
- Qualified intake: contact, property, request, timing, referral source, service-area check, and appointment state.
- Inspection packet: access, measurements, conditions, imagery, product or assembly context, and missing evidence.
- Decision packet: proposal version, options, exclusions, financing or claim context, approvals, and open questions.
- Production packet: final scope, selections, materials, permits, dates, site constraints, crew notes, and change authority.
- Completion record: final evidence, punch items, invoice, documents, warranty, review, and future service context.
